We are seeking a highly motivated individual with effective and efficient administration experience coupled with strong organisational, prioritisation and customer services skills. This role will work within a national team, however at a local level you will be responsible for providing general office administration, site based patient accommodation services and facility coordination. This is a full-time permanent position, where the successful applicant will be required to work across 2 locations; Westmead (3 days a week) and Artarmon (2 days a week). This role has parking that is available on both sites.
What we will trust you with
- Providing accommodation based administrative duties to patients, carers and their families by managing all accommodation bookings, allocations, invoice coordination, check ins and check outs, site orientations, unit cleaning checks and inspections, laundry coordination as well as actioning resident facility-based enquiries.
- Providing office based administrative duties including reception, meet and greet visitors, answering calls, distributing mail to staff and residents, coordinating onsite office events, supporting with onboarding and offboarding activities, ordering stationery and kitchen supplies and ensuring all site registers are updated, and compliance/training requirements are met.
- Coordinating and facilitating onsite contractors to ensure all office and accommodation facilities are maintained in an appropriate and effective manner.
- Performing the Chief Fire Warden role and key responsibilities to ensure all team members understand the sites emergency management plan and evacuation procedures.
- Supporting to the broader team functions with operational patient service requests as required

Essential criteria
- Demonstrated relevant experience in administration, accommodation coordination and customer service
- Ability to deliver administration and service requirements through prioritisation with a timely result
- Understanding of WHS requirements and the ability to identify and escalate risks.
- Strong time management and prioritisation skills
- Highly motivated and well organised
- Strong communication skills including verbal and written
- Experience working in a cross functional team
- Intermediate experience in Microsoft Office Suite
Desired criteria
- Experience with Salesforce or a patient records system
- Experience working within a safety and/or facilities focused role
